Express Digital

For technical support on Express Digital, including setting up and using the Spectra integration in the Express Digital software please contact your Express Digital representative.

Requirements

Setup

We recommend first setting up and using Spectra and Express Digital Darkroom independently before setting up the integration.

Single User Spectra and Single User Darkroom:

  1. On the computer that has Spectra and Express Digital Darkroom installed, open Spectra and go to Maintenance > Preferences > Studio Preferences.

  2. Open the Integration tab and click Express Digital Integration.

  3. Select how you want Spectra to Add Catalogs to Express Digital, either “By Date,” which will create a date folder for the catalog, or “By Client Name,” which will create a client folder for the catalog. Then close Studio Preferences.

  4. Go to Maintenance > Preferences > Workstation Preferences and set the Express Digital Application Data Path (e.g., C:\Program Files\ExpressDigital\DarkroomPro\).

  5. Open Express Digital Darkroom Pro.

  6. Go to Setup > Application Options > Local Settings and choose “Enable Studio Management.”

  7. Select Spectra and “Automatically Create Invoice for Each Order” if you want Express Digital to create invoices in Spectra for each Express Digital order.

Multi-User Spectra and Multi-User Darkroom:

  1. Install Express Digital Darkroom Pro on every computer that has Spectra installed. Even though you may not be using Express Digital on every computer, components of the software needs to be installed in order for the integration to work correctly.

  2. On one computer that has Spectra and Express Digital Darkroom installed, open Spectra and go to Maintenance > Preferences > Studio Preferences.

  3. Open the Integration tab and click Express Digital Integration.

  4. Select how you want Spectra to Add Catalogs to Express Digital, either “By Date,” which will create a date folder for the catalog, or “By Client Name,” which will create a client folder for the catalog. Then close Studio Preferences.

  5. On every computer that is running Spectra, go to Maintenance > Preferences > Workstation Preferences and set the Express Digital Application Data Path (e.g., C:\Program Files\ExpressDigital\DarkroomPro\).

  6. Open Express Digital Darkroom Pro.

  7. Go to Setup > Application Options > Local Settings and choose “Enable Studio Management.”

  8. Select Spectra and “Automatically Create Invoice for Each Order” if you want Express Digital to create invoices in Spectra for each Express Digital order. If you're using Spectra Lite do not check this option.

  9. Enter the Station ID.

  10. Go to Setup > Network Setup and choose the appropriate network options. Steps 6 - 9 must be done in Express Digital on every computer that has Spectra installed.

Price List

  1. Enter your price list into Spectra.

  2. In Darkroom, go to Setup > Products & Services > Package Groups.

  3. Enter any packages or use the Darkroom defaults.

  4. Select a package and click Edit Package Info.

  5. Click Select Management Product and a window will appear with products from Spectra.

  6. Select the appropriate product.

Workflow

Once the setup has been completed successfully, below are the workflow steps for the Spectra and Express Digital Darkroom Pro integration.

  1. Enter client information and book sessions in Spectra.

  2. Once a session has been created in Spectra, a catalog will be automatically entered in Darkroom (see Spectra Studio Preferences > Integration tab for catalog creation preferences).

  3. On the day of the session, go into Darkroom Pro and find the appropriate catalog.  

Note: If you do not use the catalog that Spectra creates, or if you manually create a catalog in Darkroom, the remaining integration steps will not function correctly.

  1. If you don't see the catalog Spectra created, you can open the session in Spectra and click Express Digital on the Actions tab of the ribbon.

  2. Import and Present the images in Darkroom. Then create an order (see the "Darkroom User Guide" for questions about the ordering process).

  3. Once an order has been placed, an invoice will be created in Spectra under that session.

  4. Open the session in Spectra and go the Invoices tab. Double-click to open the invoice. Add any necessary products, services or charges, and collect any payments.

Note: Orders from Darkroom will use the products that are linked to the products in Spectra. If you have not linked any products, those line items will show up on the Spectra invoice but will not be linked to the price list and some reporting features of Spectra may not work correctly.

  1. If you want the images to come back into Spectra, open the session and select Action > Create Previews.

  2. The Copy From folder should already be selected with the appropriate Darkroom folder containing the images.

  3. Click Acquire Images to create previews for Spectra (see the "Spectra User Guide" for questions on the digital workflow in Spectra).

  4. Open the Images tab on the session to view the preview images in Spectra.
