Bulk Image Import using QR Codes

    
NOTE: This feature is available in the Standard, Professional, and Enterprise versions of myStratus Desktop. Spectra does not include this feature.
 

We are introducing a new feature to streamline the process of getting images into myStratus for school / sports studios using QR Codes and the Bulk Image Importer. To assist you in utilizing this new feature, we've also included the means to create the QR Codes for you!

Bulk create Session QR Codes



Go to Reports > Session QR Codes



We've provided multiple ways and combinations for you to find exactly the right Sessions,



This will create a report with each Session's QR Code on one 8 ½ x11 sheet - simply print them.

HERE'S AN IMPORTANT REQUIREMENT FOR YOU!

QR Code must be on a printed form. It cannot be on a phone or other screen. You can export your school list from the Sessions Hub if you want to create your own QR codes from a different program. However, the QR code must be the Session number. We recommend that you also make sure you can see the clients name or session number on the printed page as well. That way you will be able to identify the student in the picture. This will help if the QR code fails to read for whatever reason. Finally, we also recommend that you do a test with your QR codes the first time you print them. It’s important to make sure they work before you take all the pictures.

During the photo shoot, we suggest you keep the QR Codes stacked in the order the students were photographed. This will help if there's a problem photographing the QR Image.  Problems may include QR Code out of focus; QR Code damaged; QR Code not photographed (photographer forgot).  If a QR Code has a problem, the software can't "look" at the images, so if there is a problem, those images will all go into the previous Session.


Importing / Sorting Images

Once the job has been photographed, the images can now be imported and automatically sorted into the correct session folders based on the QR codes.

How it works:  myStratus will detect and read a QR Code Image. It will import images into the session folder based on the information on the QR code until it detects the next QR Code Image. myStratus will not import the QR Code image – just the images the client will see.

 

HERE'S AN IMPORTANT TIP / NOTE FOR YOU!

During the photo shoot, we suggest you keep the QR Codes stacked in the order the students were photographed. This will help if there's a problem photographing the QR Image.  Problems may include QR Code out of focus; QR Code damaged; QR Code not photographed (photographer forgot).  If a QR Code has a problem, the software can't "look" at the images, so if there is a problem, those images will all go into the previous Session.






1.  Go to Tools > Bulk Image Importer





2.  Using the button shown above, navigate to the folder with the images.




3.  Click Import options. If you've used Bulk Image Importer before, this should be already set up. But it's a good idea to doublecheck.  For more info on setting  up the Bulk Image Importer, please click here.



IMPORTANT FAIL SAFE TO FIND PROBLEM QR SESSIONS

Be sure to check the "Advance Session Status".  This ensures that at the end of the process, you can locate find any Sessions that had unreadable QR Codes and that got missed in step 5 below.  See instructions here to finalize the fail safe check.


4.  Check the "Advance Session Status".  This will automatically update the Session Status on these Sessions from the Initial Session Status, to the next Session Status you've set up.


5.  Images will be ready to inspect for QR Code problems.  If you've not already done so, now is the time to visually look at the images with the QR Codes to make sure they look clear and in focus.  myStratus will automatically highlight any QR Code images in green and identify it as (QR Image).  In the example above, the red box.  If myStratus does not detect a QR Code, the image will remain the same. In the above example (blue box), the QR Code was out of focus so myStratus did not recognize it as a QR Image. Any images not associated with a highlighted QR Image must be sorted individually.

Sort and import images individually due to problem QR Codes

  1. Determine which session the unassociated images belong to. (This is where keeping the QR Codes stacked in order will help).

  2. Enter the Session Number in the Session Search Criteria and click ‘Search

     

  3. Select the images to be imported by using either the Ctrl key or Shift key (highlighted in blue) and drag to session record.

     

  4. A confirmation message will appear. Click OK

  5. The images will be imported, deleted from the screen, the session status advanced, and the session will now appear in Processed Sessions area.

  6. Continue through all the images until every unassociated image has been imported and all that remain are images that are associated with a QR image.



  7. Once all QR Image errors have been addressed, select all remaining image by clicking "Select All Images"

  8. Click "Import Selected Images" and a final warning will appear to make sure all QR Image errors have been reviewed.  Provided you've done this, click "Yes"


     

     

  9. Images will be automatically imported and sorted into their proper session folder and the session status will automatically be advanced.

  10. Continue to this page for the Fail Safe process.
