Managing Appointments

Creating New Appointments

You may create new appointments by using one of the following options:

  • From the Calendar - The most common method of creating a new appointment is directly from the Calendar. Double-clicking on an empty time slot will launch the Scheduling Wizard. The wizard will walk you through the scheduling process for either a new or existing client. Note: The Scheduling Wizard CANNOT be disabled through User Preferences. If you want to create a simple, unlinked appointment on the calendar, simply click once on an empty time slot and start typing. Press Enter when done and then resize the appointment box to change its start and end times.
  • From the Hubs - From any hub, select Appointment/Session in the New group of the ribbon. This will launch the Scheduling Wizard which will walk you through the scheduling process for either a new or existing client. Note: The Scheduling Wizard CANNOT be disabled through User Preferences.
  • From a Client - Another method of creating a new appointment is directly from a client record. In the New group of the ribbon, click New Appointment to open a new appointment record. Enter the appointment information and save.

  • From a Session - You can also create a new appointment directly from a session record. In the New group of the ribbon, click New Appointment to open a new appointment record. Enter the appointment information and save.

Finding Existing Appointments

Viewing All Appointments

  1. On the Appointments hub, use the Search  section to look for a specific appointment. Press Enter in the blank Search box to pull up all appointments.

  2. All matching records will be displayed. If the appointment you are looking for is not visible, use the scroll bar to locate it. You can sort the records by clicking on any column heading in the grid.

  3. Double-click in any field in the client's row to open the client record.

Finding Appointments for a Specific Client

  1. On the Clients hub, enter the client’s last name in the field provided. Press Enter.

  2. All matching records will be displayed. If the client you are looking for is not visible, use the scroll bar to locate them. You can sort the records by clicking on any column heading in the grid.

  3. Double-click in any field in the client's row to open the client record.

  4. Click on the Appointments tab.

  5. Select the appointment and double-click to open it.

Finding Appointments for a Specific Session

  1. On the Sessions hub, enter the client’s last name in the field provided. Press Enter.

  2. All matching records will be displayed. If the session you are looking for is not visible, use the scroll bar to locate it. You can sort the records by clicking on any column heading in the grid.

  3. Double-click in any field in the session's row to open the session record.

  4. Click on the Appointments tab.

  5. Select the appointment and double-click to open it.

Viewing Daily, Weekly, Monthly, or Multiple Appointments

  1. To view a daily appointment schedule for a single user or resource, open the calendar. Find the date you want to view and click on it. For help on finding specific dates refer to the Calendar Overview topic.

  2. From the list of users, click on the desired user. This will display their schedule in the time line. Use the scroll bar to scroll up and down the time line to view the day’s schedule. To de-select a user, Ctrl+click on their name in the user list.

  3. To view the schedule of a resource only, Ctrl+click on the current user name in the user list and then single-click on the resource name in the list of resources.

  4. Follow step 2 above to view the entire day and de-select the resource.

Deleting Appointments

  1. Follow the steps in the “Finding Existing Appointments” section above to locate the appointment. Double-click on the appointment to open it.

  2. When you have opened the appointment you want to delete, click Delete on the ribbon.

Linking Appointments

  1. Open an appointment.

  2. Use the Link option in the Linkage group of the appointment ribbon to link a previously unlinked appointment to a client or to re-link an appointment to a different client.

Converting an Appointment to a Session

  1. Open an appointment and click Convert to Session on the ribbon (or right-click the appointment on the calendar and select Convert to Session). Note: An unlinked appointment must be linked to a client before converting it to a session (see "Linking Appointments" section above).

  2. The existing appointment information will be copied into a new session.

  3. The software will leave the new session open for additional modification and delete the appointment.
