Using the Software - High Volume

High Volume Cheat Sheet

  1. Create client records for each of your students.
    1. Use the Client Import Tool. Utilities > Import Clients
  2. Create session records for each of your student.
    1. Use the Bulk Scheduling Wizard. Tools > Bulk Scheduling Wizard
    2. Online Booking
  3. Prepare for the Sessions. Create QR Codes for the Sessions. Or Export Session List to Entagged
    1. QR Code Report. Reports > Print QR Codes
    2. Entagged: Sessions Hub > Export to Excel. Make sure to have the Session number, Student First Name, Student Last Name, Student ID, and Organization fields.
  4. Day of Session
    1. Take pictures of the QR Codes
    2. Use the Entagged App to choose students
  5. Import Images into student’s sessions.
    1. Tools > Bulk Image Importer
    2. Workflow Hub > Select Session on the Right > Import Images
  6. Advance the session status to the Image Upload Status
    1. Session Hub > Highlight Sessions by clicking one, holding shift key, and clicking last one > Advance Status button on Toolbar
    2. Images will be uploaded using the Control Center - Image Upload Job.
      1. Utilities > Control Center > Image Upload Job
  7. Invoices will appear in the software on the Invoices Hub
  8. Production Orders will be created and Hi-Res Images will be rendered out to a folder.

 

 

High Volume Using the Software

You have two ways to do most things. The manual way and the automatic way. Both are important. The automatic way is great to get everything done quickly. The manual way is for the inevitable exceptions that happen. You need to be able to enter a single client record for those students that miss picture day. Or you will need to be able to import images for a single client when a student has a reshoot.

Just remember, each student needs a client record, a session record, images imported, and images uploaded before they can login or you can place orders.

1 - Client Record (Automatic):

Utilities > Client Import.

This tool will help you import in a group of client records from an excel file. Just remember to assign them to an Organization field. 1 - Client Record (Manual):

CTRL+ N

To create a client record, click New Client on the toolbar of the Client’s Hub. Or Ctrl + N for the hotkey. Make sure to set the school on the Organization tab. 2 - Book Session Records (Automatic – Booked Online)

If you setup Online Booking, then you are good to go! Let the bookings pour in!

2 - Book Session Records (Automatic – Bulk Scheduling Wizard)

Tools > Bulk Scheduling Wizard

You can bulk schedule sessions for your students. Then email them their date and time. You can also use this combined with Online Booking to give your students the ability to reschedule online. The bulk scheduling wizard allows you to choose the duration of sessions and time frame.

If the individual session times do not matter or you just need to create a session record, then we recommend that you book them all on the day you took their pictures. That way the session date matches the day you took their pictures. You are simply creating a session record for them. However, the software requires a time for the sessions. This is something we intend to change. For now it requires a time, set the sessions to be 2 or 3 minutes long and run from Midnight to midnight. This will make sure you have enough time in the day to book all your sessions on the one day. The time does not matter.

3 - Import Images (Automatic Image Import - QR Codes)

Tools > Bulk Image Importer

The Bulk Image Importer allows you to bulk import images from your camera card or a folder. It’s important to note that the QR Code has to be printed on paper (no screens). It needs to be large enough for the camera to read it. It can be generated using another software. The QR code must be the session number. (You can export a list of session numbers from the session hub using the column chooser button and the export to excel button on the toolbar.) And finally, we recommend that there is information to identify the person on the QR Sheet. If the QR Code fails to read, you need a way to identify the person from the picture.

3 - Import Images (Automatic Image Import – Entagged/Meta Data)

Tools > Bulk Image Importer

The Bulk Image Importer also allows you to import images based on the Meta Data of the images.

First, you need to prepare the Entagged App with your sessions of the day. To do this, you can use the Sessions Hub to export a list to an excel file. Use the Column Chooser button on the toolbar to add the student’s names and session number. Then use the Export to Excel button on the tool bar to export it to an excel file. Then import that list into the Entagged App. Use the Session number column for what gets put into the Copyright Meta Data field or the Comment field.

Second, make sure you use the Entagged App to add the Meta Data to each of the images you are taking. Choose the name of the student you are about to take pictures of.

Third, use the Bulk Image Importer to bring in the images from the camera card. You can also dump all the images into a folder on your computer, run batch retouching on the folder, and then import them from the folder. Either way, use the Import using Meta Data buttons in the top right to bring your images in.

3 - Import Images (Manual Image Import - On Site)

Tools > Group Capture

Another route is to import images as you take them using a Hot Folder. The Group Capture tool in the myStratus software can manage this route. This route is helpful because the tool can create session records and client records on the fly for you. 3 - Import Images (Manual Image Import)

Workflow Hub > Select a session from the right list > Import Images button

If for whatever reason, a student’s images are not imported automatically or they missed their session, you can import them manually. To do this, go to the workflow Hub > select a session from the right list > Import Images button. You can also go to the Action ribbon tab of a Session Record to get to the Import Images button for that session. 4 - Invoice Records (Automatic with InspiredByYou.com)

4 - Invoice Records (Automatic Bulk Import)

Utilities > Import Invoices

If you get your invoices from another source, they can be imported using our bulk invoice importer. Keep in mind that the invoices need to be in one of two formats for us to import them properly. The first is one row per invoice. This import will not bring in line items, only the invoice total. The second is each line item as its own row. Ex: Rows 1-4 are the four items on client A’s invoice. Rows 5-9 are the five items on client B’s invoice.

Also, it’s very important to make sure the import has the client’s number or session number as a column so we know exactly which client or session to import any invoices into. 4 - Invoice Records (Manual with Sales Presentation)

Workflow Hub > Select a Session > Start Presentation button

Production

  • Open Production Order
  • Open Render Folder
