Bulk Scheduling

NOTE: This feature is available in the Professional and Enterprise versions of both Spectra and myStratus Desktop.

The Bulk Session Wizard is used to create sessions for a group of clients. You can use this tool to quickly schedule sessions for hundreds of clients belonging to a client group, filter, or organization. Sessions scheduled this way have the same features as manually created sessions. The session numbering and session folder creation options selected in the Company (Studio) Preferences will apply to sessions created with the Bulk Session Wizard as well. Follow these steps to schedule a group of sessions automatically:

  1. Go to Tools > Bulk Scheduling Wizard.

  2. Click Next to begin.

  3. Choose which clients you want to create sessions for. Select a Client Group, Filter, or Organization and Year.

  4. Check the “Only include those clients without a future session booked” option to exclude clients that already have sessions scheduled. Click Next.

  5. Verify the set of clients you've chosen. At this point you can choose to unselect individual clients if necessary. Click Next.

  6. Enter or choose the Session Description, Session Type, Session Status, Photographer, Assistant, and Camera Room that should be assigned to all the new sessions. Click Next.

  1. Now enter the time slots to use for the new sessions. Click in the first row and select a Start Date, End Date, Start Time, End time, and session Duration. You can exclude Saturdays and Sundays, add a break during the day, and indicate how many minutes you want to leave between sessions. Create as many rows as you wish.

  2. Click Verify Session Times and Count to see if the time slots you've defined will accommodate the group of clients.

  3. HERE'S A FLASH FOR YOU!
The wizard will ignore any studio hours or lunch periods you have set for your calendar. The assumption is that you are scheduling for a special event and may want to use these times. Control any shooting breaks by using the Break Start and Break End times in the wizard.
  4. Create additional time slots if needed.

  5. Click Next to move on.

  6. The Bulk Session Wizard is now ready to create your sessions. Click Finish to begin the scheduling process.
