Client Referral Programs

    
NOTE: This feature is available in the Professional and Enterprise versions of both Spectra and myStratus Desktop.


Go to Maintenance > Client > Client Referral Programs and click New to create a new referral program. Use this form to set up all the settings and requirements for your referral program. The program will be active as soon as the settings are saved. Check the box to activate a setting for the program, and leave the box unchecked to keep that setting turned off. Note: Each setting in the referral program details is optional.





HERE'S A FLASH FOR YOU!

Throughout these pages, we'll discuss two types of clients. Here is a breakdown of each client:

  • Referring Client - Established client who is assigned to a referral program and is referring new clients to you.
  • Referred Client - New client who has been referred to you by the referring client. 

General

  • Description - Enter the name of the referral program. This is how the program will be referenced throughout the software.
  • Inactive - Check this box to mark a program inactive and hide it from view.

Requirement

  • The referred client must be created within so many days of sending the Referral Program email - Check this box to have Spectra/myStratus require a referred client record to be created within so many days of assigning a client to the referral program. This option would mainly be used if there is a time limit for when a client can get the reward for their referrals (e.g. "Refer someone in 30 days and get $10 off your next purchase!").
  • A session must be booked - Check this box to have Spectra/myStratus require a referred client to book a session before they can earn their reward (e.g. "Have one of your referrals book their first session with us and we'll give them 10% off their first purchase").
    • A session must be booked within so many days of sending the Referral Program email - Check this box to have Spectra/myStratus require a referred client to ALSO book a session within X number of days of assigning the referring client to the referral program. This option would mainly be used if you want a session to be booked before a referring/referred client can receive their reward. (e.g. "New referrals must book their first session within 30 days to qualify for the reward").
    • The Session Status must be changed to this status before reward is earned - Check this box to have Spectra/myStratus require the session status for the referred client's session to be set to a specific status before either client can earn their reward. This option would mainly be used if you wanted a session to be confirmed, finished, etc. before the clients can get their rewards (e.g. "New referrals must complete their first session within 30 days to qualify for the reward").
  • An Initial Order must be recorded - Check this box to have Spectra/myStratus require a referred client to place their first order before they can earn their reward (e.g."New referrals must place an order with us to qualify for the reward").
    • An Initial Order must be recorded with a minimum amount before reward is earned - Check this box to have Spectra/myStratus require a referred client to place their initial order of a minimum amount before they can get their rewards. If you just want to require an initial order and not a minimum amount, then check this box, but set it to "0". This option would mainly be used if you wanted an order to be placed before the clients can earn their rewards (e.g. "New referrals must place an order of at least $100 to qualify for the reward").

Benefits

  • The referring client will receive a Loyalty Reward in the amount of - Use this setting to specify the dollar amount of loyalty rewards a referring client will earn for each referred client. See also: What is a Loyalty Reward?
    • The Loyalty Reward Expires so many days after creation - Check this box to apply an expiration date to loyalty rewards earned by the referring client.
  • The referred client will receive a promotional item - Check this box to specify which promotional item a referred client will earn when they meet the requirements of the Requirement section. See also: Creating a Coupon or Promotion
    • Auto generate a unique Coupon Code the referred client must use - Check this box to assign a unique coupon code to a referred client when they earn their promotional item.
  • Grant the Loyalty Reward and Promotional Item for each Session Booked - Do you want your clients to earn rewards for each referred client or for each session booked by a referred client? Check this box to let both the referring and referred clients earn rewards for every session booked by the referred client.
    • Limit to just the first number of sessions for each client - Check this box to limit how many sessions a referred client can book that will earn rewards. For example, they can earn a reward for the first session only.
  • Limit the number of total rewards one can earn to - Check this box to limit the total number of Loyalty Rewards referring clients can earn through this referral program. Once the maximum number has been met, any additional referred clients will not receive promotional items.

  • Auto send an email to the referring client when a new Loyalty Reward is issued - Check this box to have Spectra/myStratus automatically send a specified email to the referring client letting them know they've earned a new reward. The email selected must have a type of Clients With Loyalty Rewards to show in the list. The referring client may not know that one of their referrals actually qualified for the program, so it's good to let them know when they've earned each reward.   • Auto send an email to the referred client when a Promotional Item is earned - Check this box to have Spectra/myStratus automatically send a specified email to the referred client letting them know they've earned their promotional item gift. The referred client may not know they were a part of a referral program, so it's good to let them know when they've earned their gift. the email selected must have a type of Clients to show in the list. HERE'S A FLASH FOR YOU!

There are special merge fields to include with your promotional item gift email. When creating the email to send, include the merge fields Referral Promotional Item Description, Referral Promotional Item Identifier, and Referral Promotional Item Coupon Number to have the software automatically include what promotional item and coupon code the referred client received as their gift. These merge fields are found under the Client category for the Insert Data Fields drop-down within the email builders.


Click OK to save the changes to this program.
