Item Tags

Item Tags can be used with a variety of features in your price list. Most commonly, they are used with promotions and add-ons. See below for how to create and assign Item Tags as well as different ways to use them with your price list. Note: Item Tag features are not compatible with InspiredByYou.com

Creating Item Tags

  1. Go to Maintenance > Price List > Item Tags. (Or, click the List Maintenance tab of the Price List ribbon to open your list of item tags.)

  2. Create an item tag by typing a description in the first line of the grid.

  3. Add as many tags as you need.

  4. Close the list when finished.

Note: Item Tag features are not compatible with InspiredByYou.com.

Assigning Tags to Items

  1. Go to Maintenance > Price List > Price Lists to open your price list.

  2. Open an item you want to tag.

  3. Click on the Item Tags tab.

  4. Use the arrows to move tag(s) from the Available column to the Selected column (and vice versa). 

  5. Save and close the item when finished.

  6. Repeat the process for each item you want to tag.

  7. Close the price list when finished.

Creating Promotions Based on Items Tags

Item tags may be used in conjunction with promotional and regular in your price list. Use item tags to mark specific items in your price list which are included in specific percentage-off promotions. For example, if you offer a "50% Off Large Canvases" promotion several times per year, create a "Large Canvas" item tag. Then tag all the items in your price list that should be part of this particular promotion. When you create the promotion, limit the usage to only those items with the "Large Canvas" tag.   1. Create a new item in your price list and choose Promotional Item as the Item Type.

  2. Open the Promotional Item Details tab.

  3. Choose Percentage Off from the Promotion Type drop-down list. 

  4. In the Promotion Options section, enter the Percentage Off amount.

  5. Then, check Only Items with an Item Tag and select the appropriate tag from the drop-down list.

  6. In the right column, check any Limitations you want to apply to this promotion.

  7. Save and close the promotion item.

Limiting Replacement Items Based on Item Tags

Item tags also have the ability to limit the replacement items on an invoice. For example, you may have a package where a client can select 3 sheet items, 2 small canvases and one large canvas. You can create a package with those generic items and then, during the Sales Presentation, switch out those generic items with more specific ones in the same category.
  1. Create a generic item in your price list to act as a placeholder product.

  2. On that item's Price List Maintenance Form > Miscellaneous tab, check the box to Limit replacement items to items with an item tag of and select the corresponding Item Tag. Optionally, you can also require the listed item be replaced before the invoice can be saved.


  3. On the price list item(s) that will be used as replacement items, assign the appropriate item tag on the Item Tags tab.
  4. When using the placeholder item within the Sales Presentation, such as with a package, the only items for which the placeholder item can be replaced with are items that have the selected item tag. See also Creating a Package.

  • Rules that apply to which items will show as replacements:
    • Inactive price list items will not be displayed.
    • Items outside of a Visible Date Range will not be displayed.
    • Items flagged as Hidden will be displayed.

Automatically Add Items to an Invoice Based on Item Tag

The ability to automatically add items to an invoice based on an item tag can be used in a few different ways. With promotional items, use this feature as a "BOGO" offer. For instance, if you buy one item, then you automatically get another item. Note: This feature alone does not apply discounts, check out Coupons and Promotional Items to set up your discounts. This feature can also just be used if there are specific items you want to make sure are added to an invoice together (i.e. a frame and its matte).

  1. Create the price list item that will be added to an invoice before automatically adding the other items.
  2. On that item's Price List Item Maintenance Form > Miscellaneous tab, check the box to Auto add additional items with an Item Tag of and select the corresponding Item Tag


  3. On the price list item(s) that will be automatically added to the invoice after the item in Step 1, assign the appropriate item tag on the Item Tags tab.

Require the Presence of another Item with a Specific Item Tag

Item tags can also be used with ala-carte add-ons. As an example, by requiring the presence of an item with a specific item tag, you could say a client needs to buy 100 photo cards before they can purchase a 25 or 50 photo card add-on, etc. Another method of using this feature would just be to require another item before this one can be added (e.g. a specific package must be present before a coupon can be added).

  1. Create the price list items that will act as the add-ons.

  2. On those item's Price List Item Maintenance Form > Miscellaneous tab, check the box to Require the Presence of another item with the following Item Tag before adding this one and select the corresponding Item Tag.

  3. On the price list item(s) that will be required before the additional item can be added, assign the appropriate item tag on the Item Tags tab.
