Manage Payouts is a tool to help track your Stripe payouts in Stratus. It can be used with or without the Accounting Link feature.
If you use our Accounting Link, posting payouts helps keep records current in Stratus and your connected accounting software (e.g. QuickBooks). If you use Make a Deposit or End of Day Wizard tools, then we'd recommend adding Manage Payouts to your accounting routine as well.
A Payout is when Stripe submits your credit card payments to your bank account. Stripe will automatically do this with the settings you created when you first made your account with them. The "Manage Payouts" process in Stratus is only a record-keeping tool. Stripe will still submit your payouts on a regular basis automatically. This process is just to help keep your accounting software up to date. One thing to be aware of: Your first payout with Stripe is usually 7 business days after the first payment. After that first payout is paid, the standard is 2 business days to receive your payout. If you have questions or concerns about the actual payout process, please review with Stripe. StudioPlus has no control or guarantees on actual payout distribution.
The Manage Payouts window shows Stripe payouts that have not been posted yet. The top of the window shows the number of payouts and the total amount still to post.
When this window first opens, Stratus automatically compares its records with Stripe. Your payouts will show as Reconciling while this review is still in progress. Select Show Posted Payouts to view payouts that were already posted.
If all payouts show Ready to Post, select Post All.
To post one payout, select the arrow (->) in the Actions column.
Posting will "Post" (or lock) all the corresponding payments in Stratus. If using Accounting Link features, the payout is also sent to your connected accounting software (e.g. QuickBooks). If no accounting software is connected, Stratus posts the payments in Stratus only.
Select the pencil icon in the Actions column to open the detailed Payout Reconciliation.
This window can be used to review a payout, edit the description, and check any payout marked Needs Attention.
At the top of the window, the Payout Date, Expected Deposit Date, Payout ID, and Description are shown.
The Description field can be edited to change how the payout is labeled in the export.
The Reconciliation Checklist shows the payout breakdown and any differences. Select the arrow next to a line to view more detail.
Use the Payout Summary section to choose the general ledger (GL) account for each category. The drop-down lists show the accounts from Company Preferences > Accounting tab. A GL account can also be typed manually, but it must match your accounting software.
When the payout looks correct, select Post Payout.
Select Cancel to return to the payout list.
If a payout looks wrong or the amounts do not match, contact Technical Support before posting.
