Company Preferences

Your Stratus Company Preferences is home to most of your studio-wide settings. Here you can change things like hours of operation, sales tax method, report headers, credit card settings, and studio-wide email settings. Click on each tab below to find out more.

General Info Tab

Section	Description
Studio Information	The company information entered here will be used in various places throughout Stratus. Note: Your Company Name* is what you used when you registered Stratus and cannot be changed.* See also: Changing our Company Information
Report Header	This information will print at the top of your invoices, confirmations, and reports. Note: Do not enter your company name here - Stratus will automatically add that information. See also: Customizing the Invoice and Report Headers
Regional Settings	See also: Checking our Time Zone and Regional Settings
Company Logo	Upload a logo for your reports and invoices. See also: Importing our Company Logo
Business Options	Modify some of the key terminology to better suit your business.

Appointments Tab

Section

Description

Appointment Options & Defaults

Use the following options to customize your appointments:

Default Length - Set up the default number of minutes for new appointments. Length can be changed when scheduling.
Default Color - Choose a default calendar color for new appointments. Color can be changed when scheduling.
Limit Type to List - Require users to select an existing appointment type from the list. Do not allow them to type in new appointment types during scheduling. See also: Using Appointment Types
Hide Notes Tab - Hide the Notes tab on the appointment record. See also: Appointment Reference
Default Location - Select a default location for new appointments. the location can be changed during scheduling.
Default Appointment Booked By to Blank - Check this option to default any new appointment to have the Booked By field blank when an appointment is created, requiring the user to manually select a user from the list.

Clients Tab

Section	Description
Client Tabs	Simplify your display by unchecking any tabs you don't use on the client record. See also: Hiding Tabs, and Client Reference
Client Number Options	Customize when Stratus assigns the client number. See also: Setting up the Client Numbering System
Duplicate Check Options	Choose how you want Stratus to check for duplicate clients. See also: Checking for Duplicates
Data Entry Options	Change the order the client's name is displayed and entered on the client record. See also: Start with Client's First/Last Name
Loyalty Program	This feature requires the Professional version of Stratus. Select the Start Date of your loyalty program.
Client Status Options	Check the box to have Stratus assign a new client status when the first session is booked or the first invoice is recorded. Select which status it should be changed to.

Section	Description
Barcoding Options	Select which printout(s) should include bar codes.
Next Number to Assign	Select the next number to be assigned when a new record is created. This is done for Client, Session, Invoice, Estimate, Archive, Loyalty Program, and Task records.
Email	Select which email signature to use as the company default for outgoing emails.
Security Options	Select the default security group for new users to be added to.
SMS Texting	Select which Department and/or User to assign SMS messages that come in without a previous contact. This option is only for users with a Dedicated SMS number. Email Sales@StudioPlusSoftware.com for more information.
Mobile Devices	The myStratus Mobile App exports a smaller version of your overall database in order to speed up the syncing process. This setting allows you to select how much historical data you want to export to your mobile device. Recurring Appointments are not included in this setting; both past and future recurring appointments will export as normal. The less data that the mobile app has to export at a time, the more efficient the sync process will be. Select Do Not Export to keep the mobile app from exporting any data aside from today's date. By selecting 0 Months, all future data will be exported but no historical data will be exported. Note: Due to the database export, this setting will not take effect until the next time the database is exported for the mobile app. It may take up to 24 hours for the new setting to take effect. After the 24 hours, go to More > Utilities > Reset Local Database to reset the database and login again.

Phone Calls Tab

Section	Description
Area Code	Enter the default area and country codes by clicking in the proper field and then typing it in. The area code will automatically be included when you enter client phone numbers. This is usually the area code your company resides in, or the area code you call more than any other.
Phone Labels	Click Phone Number Labels to create your own phone number labels. Then, choose which labels should appear by default on client records. Setting or changing the defaults affects clients created AFTER the change is made. Labels in existing client records are not affected.
Tapi Auto Dial Options	If your TAPI-complaint phone requires a prefix number to dial out, enter it here. If you have a TAPI-compliant phone system connected to your PC, you can dial a customer’s phone number with a single click. (Google “tapi compliant phone” for more info).
Triggered Calls	NOTE: This feature is only available for Professional* and Enterprise versions of myStratus Web.* Choose which staff member should be assigned triggered calls where you've chosen to assign the call From Company Preferences (shown below).

Reports Tab

Section	Description
Report Options	See also: Importing our Company Logo
Profit Analysis Report	Set how to calculate the total cost of a session. Proofing Cost will include proofing costs as determined by the vendor invoice amount you enter on the pre-production order. Product Cost will include product costs that may apply. There are two option to calculate product costs: Item Costs uses the cost for each item on an invoice from the Costs tab of the Item Maintenance, and Production Order Costs uses the cost from the vendor invoice amount that you fill in on each production order.
Photographer Confirmation	Automatically include selected services when creating a photographer confirmation. See also: Creating a Photographer Confirmation
Appointment Confirmation	Default Appointment Notes to print when creating an appointment confirmation.
Session Confirmation	When printing a session confirmation, have Stratus include any notes that have been entered for the session. See also: Creating a Session Confirmation
Invoice Options	Use the following options to control what is included on a printed invoice: Balance Due All Invoices - When printing an invoice, Stratus will include the total balance due on all the client's outstanding invoices. Session Notes - Set the session notes to print on the invoice by default. Invoice Notes - Set the invoice notes to print on the invoice by default. See also: Printing an Invoice or Estimate
Image Detail Sheet	The Image Detail Sheet is not available in Stratus Express.
Sales by Session	Analysis reports are not available in Stratus Express.
Initial Order	Analysis reports are not available in Stratus Express.

Scheduling Tab

Sessions Tab

Section	Description
Default Type and Location	Choose the default session type and location Stratus should use when booking a new session. Note: Any default settings can be changed when scheduling an individual session. See also: Setting up Session and Appointment Defaults
Session Tabs	Simplify your display by unchecking any tabs you don't use on the session record. See also: Session Reference
Number Options	Customize when Stratus assigns the session number. See also: Setting up the Session Numbering System
Number Configuration	Customize how Stratus determines the session number. See also: Setting up the Session Numbering System
Session Status Options	Check this option if you want to set up session statuses that are unique to each of your session types. See also: Using Session Statuses
Other Defaults	Use the following options to control how Stratus creates a new session: Default Session Date to Blank - Check this option if you want the session date to be blank when a new session is created, forcing the user to manually enter the date. Default Session Booked By to Blank - Use this option if you want the session "Booked By" field to be blank when a new session is created, requiring the user to manually select a user from the list.
