Using Task Statuses

Task Status Overview

Statuses are a powerful workflow tracking feature throughout Stratus, designed to keep things from falling through the cracks by organizing the many areas of your business - clients, communications, sessions, invoices, and tasks - into custom workflows. Basically, you create a workflow by defining the steps of a process from beginning to end. These steps are your statuses.

Task Statuses are used to help you track your tasks and are organized by task type. Sample task statuses may include:

  • "Pending"
  • "In-Progress"
  • "Completed"

Setting up Task Statuses

  1. Go to Maintenance > Task > Task Statuses to open your list of task statuses.

  2. Choose the task type from the drop-down list.

  3. Click New to add a status or just start typing in the first line of the list.
  4. Complete the following fields:

    • Description - Enter a short description for the task status. If you have multiple task types you're creating statuses for, make sure to give each status a unique description. This will come in handy when sorting on the Tasks hub.

    • Initial/Final Status - Your task workflow cycle can have one step that is the Initial Status and one step that is the Final Status. To change your selection, just choose a new step as the initial/final status and Stratus will reassign it.

  5. To maintain your task status list, you may also want to:

    • Make a Status Inactive - Make an task status inactive by checking the Inactive box on a status in the list.

    • Set the Initial/Final Status - Quickly change the initial and/or final statuses by checking and unchecking the appropriate boxes on the status list.

    • Delete a Task Status - Highlight the status and click Delete on the ribbon.

    • Rearrange the List - Highlight a task status and use the Move Up and Move Down tools on the ribbon.

    • Hide Inactive Statuses - Click Hide Inactive on the ribbon to hide (or reveal) any inactive statuses.

    • Print the List - Click Print on the ribbon to generate a printed report of your task statuses.

    • Export the List to Excel - Click Export to Excel to export an Excel file that you can download.

  6. Close the task status list when finished.

Using Task Statuses

Tracking Statuses on the Tasks Hub

Here's an example:

  1. Open the Tasks hub.

  2. In the Search group of the ribbon, choose "Task Status" as the Search By option.

  3. Choose a status from the list (i.e., "Pending").

  4. Click the Assigned To header to sort the list by user.



Updating Task Statuses

Follow these steps to change the status of an task:

  1. Open the task.

  2. Click the down arrow on the Task Status line and choose a difference status from the list.  

  3. Click Save & Close on the ribbon to finish updating the task.
